How to switch to single-folder filing system

Postby jam » Mon May 02, 2016 8:05 am

I've been using subfolders for project filing for years and considering switching to the singe-folder method. What's the recommended guidance (steps) or words of wisdom pro/con to do this?

Thanks in advance.

To switch to a single folder filing (SFF) system, you need to change 2 options in the ClearContext->Options screen:
1) Set the "Root Folder for Filing and Projects" to the folder you want all your messages file to
2) Click the check box to "File all messages to root folder"

You shouldn't notice too much difference in how the product operates aside from the messages now being moved to the same folder. The benefit of this approach is that you can use the Outlook sorting/grouping functionality to view messages organized a certain way, but across all filed projects. However, there are a couple of limitations to the SFF mode. The files and contacts view in the Project Dashboard are not available with the SFF mode. Also, if you use multiple computers, the Project names in the filing window are not synced across the computers and the first time you start using a Project name, you need to enter it in each computer.
